As a Receptionist, you will serve as a key resource for internal and external clients and will perform a combination of tasks: - Provide reception support including call and visitor handling, printing and posting services, ordering supplies and stationery - Assist in meetings, ensuring conference/meeting room services (e.g. room booking, audio-visual equipment, catering and clean up) are available for business meetings - Maintain diverse office documentation (e.g. phone lists, office floor plans, IT inventories) - Provide facilities support including: *Maintain the overall organization of office space; *Respond to facilities-related issues (e.g. lighting, HVAC, furniture repairs); *Assist in Business Continuity and Security procedures; *Order IT equipment and assist in IT non-technical support; *Support Corporate Real Estate activities as necessary - Handle Finance directives on vendor payments and orders in Procurement system, as well as other Finance-related formalities - Support the on-boarding process for new hires You are expected to work as a team player in achieving practice objectives and meeting defined service level targets. We are offering a full-time position (40 working hours a week plus lunch time).

Habilidades requeridas

- Secretarial course or equivalent - 1+ year experience in a professional office environment providing general office support; general finance background is a plus - Ability to communicate openly and effectively in business standard English (will be tested) and in local language as appropriate - General knowledge of office telephone/switchboard and voice-mail systems - Strong knowledge of Microsoft Office suite, in particular Outlook; comfortable with learning new software programs - Strong interpersonal and customer service skills - Professional demeanor and appearance; ability to maintain an efficient and tidy reception area - Ability to adapt to different people, situations and changing priorities as well as demonstrating an appropriate sense of urgency - Reliable and punctual - Strong organizational skills, with demonstrated ability to multi-task and prioritize effectively
